Privacy Policy
What we collect, why we have it, and how to get it changed or removed.
This policy covers ASH Registration, the registration system ASH Productions, LLC uses to run its dance conventions and performance showcases. It is written to be read, not to be survived.
The short version
- We collect what an event needs to run, and not more.
- We never sell your information, and we never rent or trade it.
- We do not advertise to dancers or use their information to build profiles or target them with anything.
- Dancers do not have accounts here. Studios do.
- A parent or guardian can ask us to show, correct or delete their child's information at any time.
Who the account belongs to
Accounts on this system belong to dance studios and are used by their owners, directors and administrators, who are adults acting for a business. Dancers, including minors, do not have logins, cannot sign up, and never interact with this site.
When a studio adds a dancer to its roster, the studio is providing us with information it already holds about its own students. By doing so, the studio confirms it has the permission it needs from each dancer's parent or guardian to share those details with us for the purpose of entering an event.
What we collect
About the studio and its staff
- Studio name, address, phone number and website.
- Owner and administrator names and email addresses.
- A password, stored only as a one-way hash. We cannot read it.
- Sign-in times, and the IP address and browser used when a member of our support team views a studio account, so that access is auditable.
About dancers
- First and last name.
- Date of birth. This one is not optional and is not incidental: age at the season cutoff decides a dancer's class level and the age division their routine competes in. Without it, we cannot place them correctly.
- Parent or guardian name and phone number, where the studio provides them, so we can reach somebody if a dancer is unwell or hurt at an event.
- Whether a waiver has been signed.
- Which routines they perform in, and any notes the studio adds.
We do not ask studios for a dancer's home address, school, or any identification number, and there is nowhere in this system to put one.
Files
- Music uploaded by the studio for each routine.
- Critiques, which are audio or video recordings of a judge's feedback on a routine.
- Photographs and video captured at events, where the studio has purchased or been provided a media package.
Payments
Card details are entered directly with our payment processor and never reach our servers. We keep a record of what was charged, what was paid and when, which is what an invoice and an account balance are made of.
Children's privacy
This is the section that matters most, so it is the plainest.
ASH Registration is not directed to children and we do not knowingly collect personal information online from anyone under 13. Children cannot create an account, sign in, upload anything, or contact us through this system. Every account here is held by a dance studio and used by adults.
We do, however, hold information about children — because a dance convention is full of them. That information reaches us from the studio, as part of entering a dancer into an event. For those records:
- We collect the minimum an event needs: name, date of birth, and a guardian contact for emergencies.
- We never use a child's information for advertising, marketing, profiling, or any automated decision-making.
- We never sell, rent or trade it, and we do not disclose it to anyone except as described under "Who else sees it" below.
- We do not condition a child's participation in any activity on providing more information than is reasonably necessary for it.
- We keep it only while it is needed, and delete it on request.
If you are a parent or guardian and you want to see what we hold about your child, correct it, or have it deleted, email us at info@ashproductions.com. Tell us your child's name and the studio they dance with. We will verify that you are their parent or guardian before we show you anything — usually by confirming with the studio — and then act on your request.
Deleting a dancer's record may mean they can no longer be entered in an event, since we would no longer know their age division. We will say so before we do it, not after.
Who else sees it
We share information only where it is needed to run an event:
- Event staff and judges see routine details, dancer names and ages while an event is running. Judges record critiques.
- Our payment processor handles card payments and receives the amount, the studio's details and an invoice reference.
- Our email provider sends the messages we send you.
- Our file storage provider holds music, critiques and media. Files are stored privately and are only reachable through short-lived links we generate for the studio they belong to.
- Our live event system receives the running order and routine details so the show can be tracked on the day.
Each studio sees only its own dancers, routines, invoices and files. That separation is enforced by the software on every request, not by convention.
We will disclose information if the law requires it, or where we genuinely believe it is necessary to protect somebody's safety. If that ever happens we will tell the studio involved unless we are legally prevented from doing so.
How long we keep it
- Music is deleted 60 days after the event. It is a working file, and the studio has the original.
- Critiques are available for 1 year after the event, then deleted. Download anything you want to keep.
- Registrations, invoices and payment records are kept while the account is open and afterwards for as long as tax and accounting rules require.
- Roster records are kept while a studio's account is open, so dancers do not have to be re-entered every season. A studio can remove a dancer at any time, and a parent can ask us to.
Keeping it safe
Traffic to this system is encrypted. Passwords are stored as one-way hashes. Uploaded files sit in private storage and are never publicly linkable. Access by our staff is limited by role, and when a support representative opens a studio's account to help with a problem, that view is read-only and is recorded.
No system is perfect. If we ever discover a breach affecting your information, we will tell you what happened, what was involved, and what we are doing about it.
Your choices
- Studios can view and edit their own details, roster and registrations from inside the portal at any time.
- Ask us for a copy of what we hold about your studio, and we will send it.
- Ask us to close your account and delete what we are not required to keep, and we will, and we will tell you what we had to keep and why.
- Depending on where you live, you may have additional rights over your information. Ask us and we will honour them.
The only email we send that you can turn off is the optional kind. Messages about a registration you have made, an invoice you owe, or a deadline you are about to miss are part of the service.
Changes
If we change this policy in a way that matters, we will say so on this page and email account holders rather than quietly moving the date at the top.
