Terms of Service
The agreement between your studio and us for using this registration system.
These terms cover your use of ASH Registration, the registration system operated by ASH Productions, LLC ("we", "us"). By creating an account or registering for an event, the studio agrees to them.
Who can hold an account
Accounts are for dance studios and are held by an adult authorised to act for the studio. You must be 18 or older to create one. Dancers do not have accounts, and this system is not for their use.
You are responsible for what happens under your account. Keep your password to yourself, and tell us promptly if you think somebody else has it.
Entering dancers
When you add a dancer to your roster you confirm that:
- The dancer is a student of your studio.
- You have the permission you need from the dancer's parent or guardian to share their name, date of birth and guardian contact details with us for the purpose of entering an event.
- The details you enter are accurate, in particular the date of birth, which determines class level and age division.
Entering a dancer under a false age is not a paperwork problem. It puts them in the wrong division against dancers they should not be competing with, and we may correct or withdraw the entry.
Registering
A registration is not complete until you check out. Until then it is a draft, however finished it looks, and it holds you no place at the event. This is stated on every screen of the registration for a reason: an unsubmitted registration is the single most common way a studio arrives at an event that is not expecting them.
Where an event requires a deposit, your place is held once the deposit is received, and not before.
You may keep editing a submitted registration until that event's registration deadline. After it, changes go through us.
Prices and payment
- Prices are those shown at the moment you check out. The rate is fixed then, not when you first started filling the registration in.
- Early-bird pricing applies up to the deadline shown on the event, and not after it, whatever date you began.
- Your balance is the sum of what has been charged, paid and credited to your account. It is calculated from that record every time it is shown, so the figure in the portal is the figure we hold.
- Invoices are due on the terms stated on the invoice. We may withhold participation, results or files where an account is significantly overdue.
Fees for extended performance time, and any other charges set out in the current Event Guide, apply as published there.
Award vouchers
Some awards carry a voucher toward a future registration. Vouchers are credited to the studio's account, not to an individual dancer. A voucher may be valid only for a specific season or date range, which is shown on your Awards page. Vouchers must be applied before a registration is paid, have no cash value, and cannot be transferred to another studio.
Cancellations and refunds
Withdrawing from an event in the portal releases your place. Whether any money is refundable, and on what timescale, is set out in the current Event Guide for that season. Deposits are generally non-refundable; the guide governs.
If we cancel or reschedule an event, we will tell you as soon as we can and set out your options at that time.
Music, critiques and media
- You are responsible for holding whatever rights you need in the music you upload. Uploading a track is you telling us you may use it for your routine at the event.
- Music is deleted after the event. Keep your own copy.
- Critiques are made available to the studio the routine belongs to, for the period shown on your Critiques page. Download what you want to keep. They are for your studio's use and are not for public posting or resale.
- Photographs and video taken at our events remain ours. Where a media package is included, your studio and its families may use those images for their own non-commercial purposes.
Acceptable use
Do not:
- Try to reach another studio's dancers, routines, invoices or files.
- Share your login, or use somebody else's.
- Upload anything unlawful, or anything you do not have the right to upload.
- Interfere with the service, or attempt to circumvent its limits or access controls.
We may suspend an account that does any of these, and will tell you why.
Availability
We work to keep this system running, particularly in the weeks before an event, but we do not promise it is available without interruption. We may change or improve it over time. If we retire something you rely on, we will give you reasonable notice.
Liability
This system is provided as it is. To the extent the law allows, our total liability arising from your use of it is limited to the amount your studio paid us for the event the claim relates to. We are not liable for indirect or consequential losses.
Nothing here limits liability that cannot be limited by law, including for death or personal injury caused by negligence.
Privacy
How we handle information, including information about minors, is set out in our Privacy Policy, which forms part of these terms.
Changes to these terms
We may update these terms. If a change is material we will notify account holders. Continuing to use the system after that means the updated terms apply. The version governing an event is the one in force when you checked out for it.
Governing law
These terms are governed by the laws of the State of Florida, and the courts of that state have exclusive jurisdiction over any dispute arising from them.
